Spotlight On... Dealing With High-Volume Mailing

Swimming in a sea of paper? Struggling to keep up with high volumes of both incoming and outgoing mail? As part of Frama’s ‘Spotlight On’ series, we take a look at mailing trends and management solutions.

As we slowly inch our way out of a recession, businesses are trying all they can to win new accounts and stay afloat. This can often mean an increase in direct marketing, not to mention all those invoices and statements (and reminders) you send each month.

Each day we pass 84 million items through Royal Mail’s hands. How much of that is yours?

Incoming Mail

Much is often said about the mail we send out, but what about the mail other businesses and customers send you?

You might spend an hour or more every morning sorting, opening, extracting and distributing your inbound post. Knife-like letter openers are all well and good if you’re slicing open ten or twenty envelopes, but when you’re looking at hundreds, there is an alternative.

Automatic letter openers can be indispensible in cutting down the time it takes to open your incoming daily post – as well as ruling out those dreaded paper cuts and the stubborn glue on envelopes that means yanking and tearing with a letter knife or your finger.

Frama’s Access range of automatic letter openers are ideal for large volumes of incoming post. They slit the envelopes rather than cutting them, meaning no excess paper waste, reducing the potential for damage to the contents and eliminating problems with paper clips and staples.

The Access B400 can open up to 400 letters per minute (24,000 per hour) at an envelope thickness of 10mm. It can even open the envelopes on three sides for complete ease of access.

The B400’s little brother, the Access B300, can open up to 250 letters per minute (15,000 per hour) at a thickness of 6.5mm and can open envelopes on two sides.

Outgoing Mail

The franking machine you own or lease was perfect for your requirements when you bought it. But if your volume of outgoing post has doubled or tripled, consider if it’s still the right machine for you.

The first things you want to consider are cost and savings. You’re no doubt aware of Royal Mail’s Pricing in Proportion (PiP), in which the larger the envelope, the higher the cost of posting it.

Folding your A4 letters and mailing them in C5 envelopes will save you 36.4% on your second class post. The benefits of a folding machine or a folding-inserting machine are speed, accuracy, neatness and cost reduction against PiP.

With high-volume mailing, consider stepping up your franking machine model for a Matrix F6 or adding the CF6 Conveyor-Stacker. The F6 is capable of processing 5,000 letters per hour at an envelope thickness of 10mm.

Or for those really heavy-duty jobs, consider the MailmaxIISpeed with a process speed of 10,000 items per hour.

Both the Matrix F6 and the MailmaxIISpeed are suitable for Cleanmail Advance.
